Minutes of May 6, 2006

Call to Order: Chair, Susie Garretson called the regular business meeting to order in Pearson Hall at 1:21 pm.

Institutional Planning Committee Report
Allan Affeldt reported that Robert created a template so that each of the nine committees can format there information in a similar fashion. The due date for the templates to be completed and turned in to the IPC is May 15 to Laura Rogers. We would like to present a draft to the Members at the Annual Meeting June 3.

Approval/Acceptance of Minutes
Ms. Garretson noted that the April 1, 2006 BOT meeting minutes were not available, so the agenda item was tabled until next regular board meeting.

Approval of Consent Agenda
A motion was made and seconded to approve the Consent Agenda, except for the Executive Committee Minutes May 4, Fundraising Committee Minutes, May 3, Governance Committee Minutes May 4, and the Program Committee Minutes April 14, May 1,
as they had not been forwarded to the board. The motion was unanimously approved.

Report from the Chair
Susie Garretson reported that there will be an unofficial board meeting on July 19, 4-8 pm at the Colton House to discuss the partnership between MNA and FALA. All Board Members were encouraged to attend.

Probable date for the Metzger event is Sunday, September 17, 2006. Need two people from the Museum to get the planning for the event started to serve on the committee. We need to get together with them to discuss the purpose.

Report from the Finance and Investment

Linn Montgomery discussed the MNA Endowment Foundation Board will be made up of 3 non-MNA Board Members and 2 MNA Board Members. Two non-board members have already said they would serve: Paul Delaney and David Chase. David Connell said he would serve as one of the board members.

Dr. Montgomery also discussed briefly the March 2006 Financials. He explained that Dr. Breunig said that there were some possible revisions to the 2006 Budget being proposed near the end of May, which we may have a chance to review at our next board meeting. Dr. Linn Montgomery presented the motion on behalf of the F&I Committee that March financials be accepted. The motion passed.

Dr. Montgomery reported that in the quarterly meeting with MNA’s investment firm, Lori Booth-Houle of Miller Russell said that at this point she couldn’t say much in the performances prediction for the upcoming year for socially conscience stock. Miller Russell would like to spend more time to continue looking at socially acceptable stock and identify some funds. The Finance Committee has recommended that we do not invest endowment funds in socially conscience stock at this time, unless a donor requests specifically. At that time a separate account will be set up for donors who want their donation set up in socially responsible investments only.

The Finance Committee needs more time to review the proposed revisions to the MNA ES Operational Agreement, so there was no report on that at this time.

Information will be presented at the Members meeting June 3 of MNA’s 2005 audited financials.
We would also like to present a PowerPoint presentation of MNA’s financial accomplishments in 2005. We were referred to the Finance & Investment Committee's May 3 minutes of the list of accomplishments that will most likely be presented.

Larry Stevens recommended that MNA do a press release to the public before the annual meeting regarding what the Museum’s accomplishments have been in the past year.
Wayne Ranney and Stephen Verkamp suggested that we go to the press to have a positive press release. Susie Garretson said that Robert Breunig and she have already had a talk with Arizona Daily Sun. She also explained that press releases are normally the Staff’s responsibility, Michele Mountain, Marketing Director.

Susan Golightly thanked everyone for their support for the KNAU Drive. On the MNA shift, we fundraised the most money in any given session for KNAU.

Report from the Director

Tracy Anderson, Education Director, presented the upcoming Public Programs report, along with plan in progress, covering the next five years. The plan consisted of short-term, long-term and permanent exhibits. We need to coordinate our exhibits with what is going on with our staff, the heritage programs, the community, and events at NAU. We have to work on funding for long-term and permanent exhibits. (Like Voices of the Forest, the Hopi-ionography Exhibits).

We will be having some one-year exhibits such as Timeless Treasures, which will show the best of MNA’s fine art collection. This exhibit will be curated by Alan Peterson.

A soft exhibit is a show that opens to the public, has a press release announcing it with no member’s reception.

September 30 we will be opening the Trappings Show which will be curated by Linda Steadman. We have been in close discussion with Coconino Center For the Arts and their board has given us their blessing to have the show at MNA.

T-Saur Exhibit will open January 26, 2007. We are doing considerable outreach to the public schools for them to integrate the T-Saur Exhibit into their curriculum. FALA will be adding a class every Monday to integrate the T-Saur Exhibit into their curriculum. Wayne Ranney mentioned that the Grand Canyon Symposium is opening January 27-28, which is at the same time as the opening for T-Saur. David Connell suggested to expand the T-Saur marketing campaign to include Phoenix and Tucson school districts. Tracy said that the T-Saur will be a traveling exhibit after it’s year here to places like the Arizona Science Center or the Southwest Museum. MNA’s eNotes will be a monthly newsletter to keep the teachers and principals in Flagstaff connected to our exhibit. Jack Metzger suggested a state wide press release for the T-Saur Exhibit.

Ms. Anderson has become a member of FUSD Science Alliance Committee and the year of science is slated for 2007.

The education team is partnering with FALA on a garden project as part of their school work. The Colton Community Youth Garden will be our new name for the garden project. We will continue the program with the youth throughout the summer. We want to up our interpretive value on our youth garden to let the public know.

Another project that the education team is coordinating is landscaping with native plants around the Museum with a volunteer base. There will be a campus walk in front of the Museum taking place next Wednesday at 5:00 pm and the board is welcome to attend.

There will be a lecture series presented from June 13-August 15 focusing on Harold Colton science and his 125th Birthday.

We will also be having about 75 Churro sheep during the Navajo Festival this year, behind the youth garden. We will be having sheep shearing, plus weaving and dying demonstrations.

Before the Hopi Festival Anne Doyle will be having a 3-day collections for the show.

There is also a Piki house to be built on the MNA Campus. We found a donor and have blue prints.

There is $6,000 in scholarship money available for Discovery Program students. We are about half full in the Discovery Classes within the first week of registration.

Fundraising Report
Karen Enyedy discussed the fundraising activities and passed out the fundraising report listing the donations received year-to-date in 2006. Ms. Enyedy reported that the Muses gave a $13,000 check to MNA.

She updated the board on the Baxter Black ticket sales, of which 500 tickets were printed. We have half of our sponsors for the event. The sponsorships needed to cover our event costs is $8,000. Baxter Black is an entertainment event. No meals will be served. There will be chairs at the event.

Muses Report
Mary Ann Isom gave the Muses monthly report. On May 4 the Muses held their annual meeting in Sedona. The officers for 2006-2007 were elected, with Mary Ann once again being elected to the President’s position. They also purchased a banner with the MNA logo on it to display at venues to support MNA. A check was presented to Wayne Ranney, representative for MNA, a check for $13,000.

Programs Committee Report
We moved to the Library to review the acquisition of collections.

Elaine Hughes reviewed the Collections Acquisition items.
The Motion was made and seconded to accept these collection acquisitions:
• Two paintings donated by Cynthia Perin
• Five pieces of Hopi jewelry made by Marcus Coochwykvia, donated by Dr Philip M. James
• A Hunter Kachina made by Henry Shelton, a Kachina drawing made by K. Vern Mahkee, and a painting by Michael Kabotie, donated by Dr. Robert Breunig and Karen Enyedy
• Mary-Russell Ferrell Colton painting supplies and a small drawing, donated by Robin Colton
• Six Navajo textiles, donated by Dr. Marilynn Moore
• A Hopi Coil plaque made by Kathy Kooyahoema, donated by Dr. Robert Breunig, Karen Enyedy, and Cynthia Perin
• Five Kachina dolls and a rug on a loom, donated by the MNA Gift Shop
• A Navajo coil bowl made by Mary Clark Black, donated by Margaret Taylor
• A collection of Hopi and Navajo jewelry, donated by Elaine Hughes, in memory of Anne Johnson, a former collections work-study student who died November 2005.
The motion passed unanimously.

Other Business
Susie Garretson announced the resignation of Shirley Groenhout, Colton Complex Manager and Special Events Coordinator. Robert Breunig doesn’t know of this resignation yet, as he is still on the Colorado River trip. Marlene Lloyd, Administrative Assistant to the Director/Human Resource Manager gave her resignation earlier this week. Marlene will be taking a position with First State Bank as Human Resource Director.

The meeting adjourned at 3:45 pm.
Our next meeting is scheduled for Saturday, June 3, 2006 at 9:00-2:00 pm at the Colton House.
